Who are you: You are a role model who will always put our youth first You have an unparalleled sense of integrity, emotional intelligence, & commitment to quality work You believe in the power of working and playing in nature You thrive while working collaboratively You are willing to learn, grow & get better You value creativity, professionalism, empathy & patience Position Purpose The Camp Data & Attendance Coordinator is responsible for the day-to-day maintenance of Camp Mendocino’s on-site camper database (CampMinder), including supporting staff needs, daily attendance tracking, and the coordination and completion of both internal and external reporting requirements.
This role is responsible for data tracking for grant requirements and external funders, as well as supporting the general administrative functions in the Camp office.
Key Responsibilities Work in collaboration with the Manager of Camp Administration to support the on-site usage of CampMinder, including program and meal attendance, transportation, and the entry of relevant information Train and coach Camp program staff to find relevant camper information Produce relevant reports and data sheets for Camp program, kitchen, and medical staff Help troubleshoot routine data/attendance quality and completeness issues, including missing and unclean data and incorrect tracking Create and manage master spreadsheet for approx 34K meals for State of California Summer Food Service Program Cross-reference 1,000+ forms for eligibility: county of residence, household income, foster care status for a private Camp Mendocino funder Ensure thoroughness and accuracy of Military Youth Outreach 100-200 forms for children of military personnel attending Camp Help develop and maintain data entry, cleaning, and quality control methods Support the Camp Leadership and BGCSF Institutional Giving teams in managing the data entry and reporting processes for program and meal attendance Support the BGCSF Outcomes Measurement Team in creating a smooth, efficient, and timely data transfer process from CampMinder to Salesforce software, MyClubHub Lead the process of reporting data as a part of grant requirements Ensure daily attendance tracking is completed with accuracy and the list of on-site campers, staff, and guests is updated daily Support the Office Coordinator with incoming calls and provide excellent customer service to parents, campers, staff, and visitors Assist staff as needed with computer usage, mail, and other needs Maintain office communications including: message boards, staff notices, paperwork, etc.
General office duties Assist Office Manager and Camp leadership team with administrative tasks as needed On Office Manager days off, manage office procedures Provides support to all areas and departments at Camp Requirements: Required Skills One year of administrative experience in an office environment Excellent attention to detail Data entry or data management experience Demonstrated skills in staying organized and on task Demonstrate curiosity: problem solve and get answers in a timely manner Strong oral and written communication skills Proficient in MS Office and Google Suite; strong skills in spreadsheets Ability to work in a fast-paced environment and follow procedures and instructions Ability to multi-task and stay on track to complete concurrent projects Ability to work with youth and staff in a positive manner Ability to handle difficult or stressful situations in a professional manner Ability to work independently with minimal supervision Preferred Skills Experience with CampMinder CRM, Salesforce, and/or member management databases Experience in a nonprofit setting Experience with Residential summer camps Physical Requirements Must be able to lift 50lbs.
Must be able to walk on uneven terrain for at least 3 miles.
Must be able to stand for 8 hours (with breaks).
Must be able to work in temperatures ranging from 30° to 100°.
Meals and Lodging Lodging is provided for all staff on site.
The Data & Attendance Coordinator will not be required to stay in a cabin with youth on a regular basis, but will be assigned bunk-style indoor housing that may be shared with up to 8 other staff members.
Three meals per day will be provided while on site, including on days off.
Schedule Temporary/Seasonal Summer position.
Applicants should be available June 10 - August 7, 2024 to work & live on-site at our Camp location in Northern California (Mendocino County).
Staff members work 40-56 hours/week depending on position with two days off per week.
Days off vary per session.

Pay The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and BGCSF needs.
At BGCSF, our decisions are based on other factors and dependent on circumstances for each position.
Depending on the need and requirement of the position, an individual could be hired at or near the entry level, mid - level or top of the range for their role and compensation.
As such, a reasonable estimate for this temporary summer position from June 10 - August 7, 2024, is $4,157.
