*Job Summary * This position is responsible for scheduling, answering the phones, checking patients in and out, and registration functions, and performing related clerical duties within assigned work area.
*Job Duties & Responsibilities * * Performs day-to-day Front Desk functions and general office duties for assigned work area (i.
e.
, medical, dental, and/or behavioral health front desk) including, but not limited to, word processing, copying, filing, faxing, answering phones, and data entry.
* Provides information to Clinic callers according to the Clinic’s Policies and Procedures; transfers calls as needed; works with central reception to ensure adequate phone coverage at all times.
* Schedules patients based on predetermined appointment arrangements, ensuring appropriate times are scheduled for the patient’s needs for both Dental, Medical and Behavioral Health as requested.
* When scheduling appointment, carefully screens patients for new address, new patient visit or update registration and informs patient of adequate information that must be presented at time of visit.
* Ensures that all co-pays and sliding scale fees are collected at the time of check in, along with all demographic and insurance information.
* Maintains patient waiting areas, office files, and front-desk areas in a manner that is organized and neat.
* Adheres to all clinic policies regarding safety and security by safeguarding restricted areas.
* Processes daily deposit summaries, as appropriate.
* Calls patients daily to confirm next day’s appointment, as needed.
* Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.
* Coordinates with transportation and PRC departments as necessary.
* Provides excellent customer service from point of entry to destination in a timely, accurate, courteous and professional manner.
* Posts medical, clinical, and other pertinent information from Behavioral/ Dental/Medical reports to permanent record; searches files to obtain report information.
* Reconciles daily patient register to PCC & fee slips in preparation for submission to billing.
* May need to pull dental records charts in preparation of patient visits.
* Perform other duties as assigned.
*Minimum Qualifications (Education & Experience) * * High school diploma or equivalent.
* One (1) year experience with direct customer service or receptionist duties.
* Current CPR/First Aid, or ability to obtain within three months of date of hire.
* A combination of experience, education, and training may substitute for degree requirements on a year for year basis.
*Preferred Qualifications (Education & Experience)* * Three (3) years of experience with direct customer service or receptionist duties.
* Indian Preference applies to all Consolidated Tribal Health Project (CTHP) positions in accordance with CTHP Policy and applicable federal law.
*Necessary Knowledge, Skills, and Abilities * * Maintains knowledge of local resources for community members, particularly related to health and wellness activities.
* Strong understanding and sensitivity to American Indian/Tribal culture and lifestyle, working effectively with American Indian/Alaska Native populations.
* Effective oral and written communications skills with sensitivity to lifestyles of targeted participants.
* Skills in operating personal computer using a variety of computer software.
* Ability to establish and maintain cooperative working relationships with management, coworkers, and outside contacts.
* Ability to maintain strict confidentiality and comply with all applicable federal and tribal privacy laws, as well as CTHP policy (HIPAA, HITECH, etc.
).
* Ability to learn and apply program/agency operating policies and procedures.
* Ability to manage multiple priorities and tasks concurrently and meet deadlines.
* Ability to work independently as well as with teams.
