*JOB TITLE: Secretary II* *DIVISION: Middle School* *DISTINGUISHING FEATURES OF WORK:* Under supervision and general direction of a site administrator or assigned supervisor, the Secretary II performs a broad range of clerical, secretarial, public relations, and communications functions in a school or other District office.
Positions in this class provide for the secretarial needs of the administrators at smaller sites or assistant administrators at other sites.
They are characterized by the relatively small amount of supervision received, the frequent contact with parents, students, staff, and/or the public, and require productivity despite frequent interruptions as well as the greater exercise of independent judgment and initiative.
The Secretary II may also perform duties assigned to lower level clerical staff.
_*ESSENTIAL DUTIES AND RESPONSIBILITIES:*_ _Duties and responsibilities may include, but are not limited to, the following:_ * Provide information to and assist students, staff and/or the public where judgment, knowledge and interpretation of procedures and regulations are necessary; receive visitors, answers and assists callers * Interpret rules and regulations to students, teachers, parents and/or the public and attempt to resolve problems which arise * Contact other departments and agencies, investigate and research matters as necessary * Coordinate use of facilities * Perform a variety of clerical duties, including typing, proof-reading, filing, tallying, receiving and sorting mail, checking and recording information * Compose routine letters and memos * Attend meetings; take notes; prepare minutes * Maintain staff attendance records; verify hours worked for time sheets * Enroll and transfer students; update certain information on students’ cumulative records; process student records and discipline forms * Collect and record information and statistical data; prepare and/or assist in the preparation of surveys, directories, calendars, reports, etc.
such as student attendance and/or other information * Maintain confidential and other files and records; maintain and update forms, manuals and other office information * Mail records and files for transferring students * Prepare and process work orders and purchase orders; orders, receives, stores, distributes forms and supplies * Schedule appointments, make travel arrangements; coordinate events, conferences, or other functions * Supervise clerical assistants, including student helpers * Monitor student behavior * Calculate fees, collect receipts and deposit monies, maintain and monitor site funds * Administer first aid when needed; may administer medication, care for ill children and perform head lice checks, etc.
* Perform other related duties as assigned *QUALIFICATIONS /REQUIREMENTS:* *KNOWLEDGE OF/ABILITY TO:* * Computer applications, including word processing, spreadsheets, databases, etc.
* Proper English grammar, spelling and punctuation * Basic office practices and procedures * Telephone techniques * Organize a heavy workload and to successfully complete a wide variety of duties while undergoing constant interruptions * Demonstrate proficiency in the operation of computers and software programs * Type/keyboard with speed and accuracy * Communicate with others in a tactful, polite manner * Work with others cooperatively as part of a team * Learn and follow school rules, policies and procedures * Work independently with minimal instruction * Collect data and prepare reports * Make arithmetical calculations quickly and accurately * Accurately disburse monies, track and maintain records of site program funds * Maintain confidentiality * Understand and carry out oral and written instructions * Transcribe notes * Operate standard office equipment, including computers * Establish and maintain effective relations with administrative, instructional and student personnel as well as the public * Obtain first aid certification *EDUCATION/CERTIFICATION/CREDENTIALING:* * A high school diploma or equivalent.
* Desired: Two years of responsible clerical experience.
* Provide evidence of keyboarding speed and accuracy.
*WORK ENVIRONMENT/PHYSICAL DEMANDS:* * Speak, read and understand sufficiently to successfully receive/provide information to/from students, supervisors, co-workers, the public, etc.
* Work under pressure to complete a variety of written reports within specific timelines * Sufficient coordination and dexterity to operate school office equipment (includes computers, terminals, printers, copiers, etc.
